There are different methods of managing absences in eTermin. We differentiate between short, longer and reccuring absences and the option to only block certain services for a period of time.
Short Absences
You can create short absences by left-clicking on the corresponding time period in the appointment calendar. Depending on the settings, a pop-up menu will appear where you can block the time period by clicking on “Block times”. No more appointments can be booked during this time period.
If the appointment editor dialog box opens, click on the Date, Time, Appointment Details area. Under Type, select the Time Blocker option. The previously selected time period is already selected here and can now be blocked in one or more calendars. To do this, select the desired calendars and click Save.
Longer Absences
If you want to enter a longer absence (e.g., vacation or illness), click on the appointment finder icon or double-click in the calendar. In the appointment editor dialog, open the Date, Time, Appointment Details section and select the Time Blocker option under Type.
Select the desired period that you want to block. Finally, select one or more calendars in which the specified period should be blocked. Finally, click Save.
Alternatively, you can select a calendar in the Dashboard menu item and then under the Absences tab and enter the employee's vacation as a new absence, for example. The advantage in this case is that the calendar is deactivated, but no block appointment is created for it in the appointment calendar. This makes the appointment calendar clearer.
Recurring Absences
To set up a recurring absence, you need to create a time blocker under Appointment Calendar > Appointment Finder and select how this time blocker should be repeated under Repeat. To do this, select the appropriate repeat options:
If an absence is to be repeated after a certain number of days, use the Absences tab in the Dashboard.
Here, select the “Dynamic” option under Absence type and specify the cycle in which the absence should be repeated under Number of days.
Example: There should be no appointments between 8 a.m. and 10 a.m. every third day. Therefore, you set the dynamic absence to repeat every three days.
Block off a specific Service
In addition to blocking times for absences, you can also block services for a certain period of time. To do this, you must insert a time blocker in the Appointment Calendar > Appointment Finder. In this example, we want to block service A, so we select all other services:
Block Holidays
If you do not want to offer appointments on public holidays, you can import the relevant holidays into your calendar.
To do this, click on the Settings icon in the Appointment Calendar and switch to the Public Holidays tab.
You can now select the relevant state and the calendar into which the holidays are to be imported. You can also select multiple calendars here. Holidays in Switzerland and Austria are also available for selection.
At the bottom, click the Save button again.
The days will then be blocked for the entire day and marked accordingly.
