You have the option of sending encrypted emails. We offer the "IncaMail" option or the use of PDF encryption for this.
IncaMail is used by numerous companies in Germany. IncaMail is characterized, among other things, by the fact that data is processed in Switzerland in compliance with Swiss data protection legislation and strict information and data security measures. According to the European Data Protection Directive 95/46/EG (Art. 25) and the corresponding implementation in the German Federal Data Protection Act (§ 4b), a prerequisite for lawful data transmission abroad is that the receiving body in the third country guarantees an appropriate level of data protection.
You need a paid subscription to IncaMail to be able to use it in eTermin.
You can decide if the encrypted e-mails should only be sent to you or if they should get sent to the person booking the appointment as well by going to Company > E-Mail Server.
You can activate the mail encryption option by IncaMail within the same menu when choosing the option IncaMail (E-Mail encryption) at "E-mail delivery type".
PDF encryption
As an alternative to IncaMail you can use the PDF encryption. All the information about the person booking the appointment will be sent to you as an encrypted PDF file by e-mail.
Notice: The person booking the appointment will receive an unencrypted confirmation e-mail.
Activate this setting by going to Company > Settings > Communication.
After activating this option you can define a PDF file password.
