If you want to confirm your appointments manually before they are finally confirmed to your appointment booker, you can define this for your account or for each service.
You can activate this as a global setting in the menu under Scheduling Page > Settings > General > Advanced settings > Confirm appointment manually. You can then select the days on which a manual appointment confirmation is required. Furthermore, you can also choose to receive a copy of the confirmation email your customer receives.
If you only want to activate manual appointment confirmation for certain services, then go to the menu Company > Services > desired service 'Edit' > Service-specific settings > Confirm the appointment manually.
The "In BCC when the appointment is confirmed to the appointment booker" option ensures that you receive a copy of the confirmation emails the appointment booker receives.
If you select "Send appointment confirmation to appointment provider", you will receive a separate confirmation email for the appointment provider after the appointment has been confirmed.
If the "Send appointment request confirmation to appointment booker" option is enabled, the appointment booker will first receive a notification after completing the online booking, confirming that the appointment request has been received. Their seperate appointment confirmation will only be sent once the appointment has been confirmed by the provider.
Here is an example of how appointment booking with manual confirmation works:
The appointment is selected on your online booking page and booked by the appointment booker.
The appointment booker then receives a message that the appointment has been reserved and is only valid after confirmation.
You will then receive an appointment request by e-mail with 4 options and further down in the e-mail the contact data and details of the appointment booker.
You can now decide to confirm the appointment with or without a comment, or to cancel the appointment with or without a comment. Click on the desired button in this e-mail.
So that the comment can be displayed in the appointment confirmation or in the appointment cancellation, please add the placeholder ADDITIONALCOMMENT to the text. To do this, go to Company > Settings > Email/SMS templates.
For the confirmations, the template "Confirm appointment text (booked online)" is used, for cancellations the template "E-mail appointment cancellation text (manually by appointment provider)"
If, for example, you choose to cancel an appointment with a comment, a new browser window opens in which you can write your comment.
In the appointment cancellation of the appointment booker, the text then looks like this:
